This policy explains how a SchoolEaseApp user or authorized school representative can request permanent deletion of an account and the personal data associated with it. Account suspension, deactivation or expiry is not treated as account deletion.
01Purpose and scope
This Account and Data Deletion Policy applies to SchoolEaseApp services provided by SS IT Solutions, including the Android application, web portal and related account services. It covers accounts used by schools, school administrators, teachers, staff and other authorized users.
Where a school controls an account or maintains student, parent, teacher or staff records through SchoolEaseApp, SS IT Solutions may need to verify that the requester is authorized to act for that school before deleting organizational data. Individual users may request deletion of their own account and associated personal data, subject to the verification and retention provisions below.
02Ways to request deletion
A deletion request may be initiated through any deletion option made available inside SchoolEaseApp or through the public account-deletion page on the SchoolEaseApp website. The public page should be accessible without signing in.
- Use the in-app account deletion or deletion-request option, where available.
- Submit the account-deletion form on the SchoolEaseApp website.
- If the form is unavailable, email care.ssitsolutions@gmail.com with the subject SchoolEaseApp Account Deletion Request.
Include the school/account name, registered username or email, registered mobile number and role. Do not send passwords, OTPs or sensitive identity documents unless SS IT Solutions specifically requests a secure verification method.
03Identity and authority verification
To prevent fraudulent or unauthorized deletion, SS IT Solutions will verify the requester using information already associated with the account. Verification may include confirmation through the registered email address or mobile number, a signed request from an authorized school representative, or confirmation by the school administrator who controls the account.
If the information provided is insufficient or inconsistent, SS IT Solutions may request limited additional information. Deletion will not proceed until identity and authority are reasonably verified. Verification information will be used only to process and document the request.
04What will be deleted
After a valid request is verified and approved, SS IT Solutions will permanently delete or irreversibly anonymize the account and personal data associated with it, subject to Section 6. Depending on the account and services used, this may include:
- Account profile, username and authentication records.
- Personal contact details such as name, email address and mobile number.
- User preferences, profile photographs and user-uploaded files linked only to the deleted account.
- App-specific records, activity information and support information not required for another lawful purpose.
- School-managed records associated with the account, where the requester has authority and deletion does not improperly remove records belonging to other users or the school.
05School-controlled and shared records
SchoolEaseApp is a school-management platform. Some information is created or controlled by a school and may relate to multiple users, students, employees, transactions or statutory records. Deleting an individual login does not automatically require deletion of every school record in which that individual is referenced.
Where SS IT Solutions processes information on behalf of a school, the request may be referred to or coordinated with the relevant school administrator. The school may be responsible for deciding whether particular education, employment, attendance, examination, fee or administrative records can lawfully be deleted. SS IT Solutions will not use this process to delete another person's account or data without proper authority.
06Information that may be retained
Most account-associated personal data will be deleted or anonymized. Limited information may be retained when reasonably necessary and legally permitted for:
- Compliance with tax, accounting, contractual, education, employment or other legal obligations.
- Fraud prevention, security, abuse prevention, dispute resolution, enforcement of agreements or legal claims.
- Maintaining a minimal record that a deletion request was received and completed.
- System backups maintained for disaster recovery, until overwritten through the normal retention cycle.
Retained information will be restricted to the minimum necessary, protected from routine use and deleted or anonymized when the applicable retention purpose or period ends. Account deletion will not be represented as complete if the account has merely been suspended, disabled or frozen.
07Processing timeline
SS IT Solutions will acknowledge a deletion request within a reasonable period and aims to complete verified requests within 30 days. If a request is complex, affects school-controlled records, requires additional verification or is subject to a lawful retention requirement, additional time may be required. The requester will be informed if processing is materially delayed.
08Effect of deletion
- The user will lose access to the deleted account and associated services.
- Deletion may be irreversible. Permanently deleted data may not be restored.
- Active subscriptions, contractual obligations, unpaid invoices or school-level service arrangements are not automatically cancelled by deleting an individual login.
- A new account created later may not recover the deleted account's history or settings.
09Withdrawal or cancellation
A requester may ask to withdraw the deletion request before deletion is completed. Once data has been permanently deleted or irreversibly anonymized, the request cannot be reversed.
10Security and confidentiality
Deletion requests and related verification information will be handled using reasonable administrative and technical safeguards. SS IT Solutions will limit access to personnel who need it to verify, process or document the request. Users should submit requests only through the official SchoolEaseApp channels stated in this policy.
11Children's and student data
Requests concerning a minor's or student's data must be made by an authorized parent, guardian, school representative or other person with lawful authority, as applicable. Because many student records are maintained under the authority of a school, SS IT Solutions may coordinate the request with that school and may retain records where required by applicable law or legitimate school record-keeping obligations.
13Changes to this policy
SS IT Solutions may update this policy to reflect changes in SchoolEaseApp, legal requirements or operational processes. The latest version will be published on the SchoolEaseApp website with its effective date. Material changes will be communicated where required.
